General

  • The Patient and / or Partner is responsible to ensure accurate personal information is provided to the Clinic.
  • The Patient and / or Partner is responsible to ensure that any personal change of circumstances which is deemed to be relevant to your treatment or consent is relayed to the Clinic promptly.
  • The Patient and / or Partner is responsible to ensure that a change of address and contact details are relayed to the Clinic promptly. If the Clinic is unable to contact you regarding frozen gamete storage due to incorrect contact details, it may lead to frozen stored embryos / gametes being destroyed.
  • Unless the Clinic agrees in writing to the contrary, any patient and partner signing a consent form in respect of treatment will be jointly and severally liable for any monies owing to the Clinic in relation to that treatment. This means that the Clinic may seek payment from either the patient or their partner.
  • The Patient and / or Partner has the right to access and receive a copy of their personal information, any information related to their chosen treatment (s), and other supplementary information.

 

Mandatory tests and services

  • There are certain treatments in which the Clinic is legally obligated to perform specific screening tests and/or services, such as counselling. These must be completed in order to start treatment. If any mandatory tests or services are required for the Patient and/or Partner’s chosen treatment(s), it will be explained during the consultation prior to signing consent forms.
  • All external test results provided by the Patient and/or Partner must be presented with evidence of the CPA Accredited Laboratory. Any overseas results must have the equivalent ISO 15189 accreditation (and a copy of the accreditation must be provided).
  • For treatment involving the use of imported eggs, sperm or embryos (including donor sperm from a donor bank), samples must be onsite prior to the planning of treatment.

 

Pricing and Payment

  • The price of any treatments or services will be confirmed in writing following your consultation in a treatment quotation. Once a quotation is provided, the prices defined in the quotation are no longer subject to change and are valid for 3 months from the issue date.
  • Payment for treatment must be settled in full before a prescription is issued.
  • Blood tests and medications are charged separately and are not included within the treatment fees.
  • Payment for a Frozen Embryo Transfer (FET) procedure must be settled in full no later than the first monitoring scan.
  • Payment for an Intrauterine Insemination (IUI) procedure must be settled in full before the day of the first monitoring scan.
  • Payment for an Altruistic Egg Donation (ED) procedure must be settled in full at the point of accepting a suitable donor match.
    • For patients opting for the Altruistic Egg Donation Guarantee, the Clinic guarantees two high-quality blastocysts or an ongoing clinical pregnancy (confirmation of foetal heartbeat via ultrasound between 6+0 weeks and 7+6 weeks). If two high-quality blastocyst embryos are not created, another embryo will be created free of charge. Where one high-quality blastocyst embryo is created, the embryo will be transferred and should this result in an ongoing clinical pregnancy then the guarantee is deemed to be fulfilled. However, where the embryo transfer of one high-quality blastocyst embryo does not result in an ongoing clinical pregnancy, the Clinic will honour another treatment cycle free of charge. Additional services during this treatment cycle will remain chargeable.
    • Please note that the Altruistic Egg Donation Guarantee Programme is not applicable to patients who fall under one or more of the following exclusion criteria: 48 years and over, BMI greater than 30, severe male factor (<5 million/ml in ejaculate, severe asthenoteratozoospermia, globozoospermia), showing hydrosalpinx that has not been surgically corrected, uterine pathologies such as severe adenomyosis, Asherman syndrome, endometrial thickness less than 7 mm, hematometra, serometer, gonadal dysgenesis, history of pelvic radiotherapy, concomitant indication of Preimplantation Genetic Test (PGT) due to monogenic (PGT-M) or chromosomal disease (PGT-SR), recurrent gestational loss after transferring embryos from donated eggs, or other conditions according to medical criteria.
  • Payment for a Known Egg donation procedure must be settled in full at the point of planning the donor’s treatment cycle.
  • Payment can be made by credit and debit cards (excluding American Express and Diners), bank transfers, sterling cheques or cash (maximum amount £2,000).
  • We reserve the right to cancel any treatments if they have not been pre-paid.
  • We regret that if a balance remains unpaid for more than 30 days, legal action may have to be taken to retrieve monies owed.
  • For Initial Consultations, a deposit of £100 is required at the time of booking to secure an appointment. Your deposit will be deducted from the total cost of the initial consultation. The remaining balance must be paid on the day of the appointment.
  • Fees for any blood tests must be paid on the day of the appointment.
  • All pricing is subject to change without notice.
  • All prices are in pound sterling (GBP).
  • All prices include VAT (where applicable).
  • Storage of eggs, sperm or embryos are subject to an annual fee that covers up to 12 months of storage. The Patient and/or Partner is responsible for ensuring that payments are made promptly; failure to pay will result in eggs, sperm or embryos being discarded at the end of the consented storage period as per requirements under the HFEA Act 2008. The Patient and/or Partner will continue to be responsible for the annual storage up until the date of discard.

 

Cancellation and refunds

  • Deposit fees for consultations will be refunded in the event of cancellation if notice is given at least 72 hours, or three working days, before the appointment is scheduled to take place.
  • Consultations cancelled within 72 hours, or three working days, of the scheduled date and time of the appointment will not be refunded, with deposits retained in lieu of a cancellation fee.
  • We cannot make refunds for the costs of any pre-treatment investigations.
  • We cannot make refunds for the cost of medications for the treatment cycle.
  • Depending on the stage of treatment at cancellation, a partial refund may be due. Once performed, services are not refundable and are subject to our terms and conditions.
  • Refunds are made within 14 days of approval and must be made using the same method by which the payment was made, using the same account details, in line with Anti-Money Laundering regulations.

Refund terms per treatment are as follows:

  • Where a treatment cycle is cancelled during stimulation and prior to egg collection, a full refund of the IVF/ICSI package will be made, less a cancellation fee of £900.00.
  • Where a treatment cycle is cancelled after the egg collection procedure due to no eggs or immature eggs being collected, anything the patient has paid in excess of £1,100 will be refunded.
  • For IVF Fresh Cycle Packages, in the event that eggs have been collected following an egg collection procedure and fertilised but no embryo found suitable for transfer on day 5, a refund of £300.00 will be made.
  • For IVF Freeze All Packages, in the event that eggs have been collected following an egg collection procedure and fertilised but no embryo found suitable for transfer on day 5, a refund of £300.00 will be made.
  • Where embryo transfer during an IVF treatment cycle is deferred due to a risk of hyper-stimulation syndrome (OHSS), the treatment package will be converted to a IVF Freeze All Package. The relevant fees for a Frozen Embryo Transfer (FET) will be applied when ready to restart treatment.
  • Where a Frozen Embryo Transfer (FET) procedure is cancelled prior to the warming of the embryo, the patient will be charged for services provided up to the point of cancellation.
  • Where a Known Egg Donation treatment cycle is cancelled:
    • Prior to the Donor’s egg collection: A full refund of the package will be made, less a cancellation fee of £900.00.
    • After the Donor’s egg collection due to no eggs or immature eggs being collected: A full refund of the package will be made, less £1,100.
    • After the Donor’s egg collection and fertilization but no embryo found suitable for transfer on day 5: A refund of £ 300.00 will be made.
  • Where an Altruistic Egg Donation treatment cycle is canceled:
    • Prior to the Donor’s egg collection: A full refund of the package will be made, less a cancellation fee of £ 900.00.
    • After the Donor’s egg collection due to no eggs or immature eggs being collected: A full refund of the package will be made, less £ 1,100.
    • After the Donor’s egg collection and fertilization but no embryo found suitable for transfer on day 5: A refund of £ 300.00 will be made.

 

Liability

  • Nothing in these Terms & Conditions shall limit or exclude our liability for death or personal injury caused by our negligence or for fraud. We shall not otherwise be liable for any loss, damage or delay however caused, including in particular where such loss, damage or delay is caused by circumstances beyond our reasonable control.
